April 18, 2006 Vestry Meeting

Call to Order
The meeting was called to order at 7:30. Present were: Sara Gibson, Tom Litras, John Frye, Sharon O’Rear, Jake O’Sullivan, Keith Thrash, Dwight Wooster, Fr. Jim, Rev. Andy, Dunbar Ashbury, Judy Haines, Dan Lajewski, Chuck Hedges, Hunt Hendrickson, Bill Gibb, Bruce Jones, and Robyn Hildebrand.
Visiting: Darlene Aulls
Review of Agenda and Approval Of Minutes
There were no amendments to the agenda. The minutes were approved without change.
Financial Report
Dunbar noted that the final distribution of $4,000 from the Stephanie Clement estate has been made, bringing that total to about $15,000. Ted Gregory has the data for the 2003, 2004, and 2005 financial audits and should be compiling the results soon. Dunbar was asked for clarification that a 1st quarter financial report be presented to the parish. The report will actually be done as a four-month report because of the timing of Easter within the reporting period. Dwight emphasized the need to stay on target for presenting periodic and timely open financial reports to the congregation. The results of the February parish financial meeting are not yet finalized. Sara will distribute what she has so we can discuss prior to the May meeting.
Rector’s Report
Fr. Jim expressed his thanks to the vestry for their support on this, his last vestry meeting at All Saints’. He noted that a member of Holy Trinity, Tokyo, would be here for his last service on April 30th. Although a tentative date of May 13th has been set for a vestry retreat, it may be postponed until the interim rector is on board.
Assistant Rector’s Report
Rev. Andy said that he would tell the Youth groups on Sunday of his call to Church of the Ascension. He will have a letter going out to the parish, pointing out that the Youth program will continue to flourish with the seeds that have been planted. Rev. Gatza will be serving as supply priest after Jim leaves, and Everett will be available, so Andy won’t be the only clergy during the month of May.
Senior Warden’s Report
Chuck reviewed the previous Saturday meeting and brought the vestry up to date on what has transpired after the meeting adjourned. Judy and Tom called Rev. Wiehe with the revised offer. Rev. Wiehe accepted, and will begin June 1st. His first Sunday will be the 4th, but will not be here on June 11th, Rev. Andy’s last Sunday with us. Tom also noted that Rev. Wiehe would be away on July 9th for a previously scheduled event. He also asked for 3 blocks of time (I day/month) for consulting outside of his regular hours. Chuck acknowledged Judy and Tom’s efforts in reaching an agreement. Chuck then read a brief letter from Rev. Wiehe in which he expressed his excitement in joining us during a time of change. A number of people, including some spouses of vestry members, have expressed an interest in serving on the search and profile committees. Bishop Ihloff feels that there needs to be a clear distinction in the makeup of the search committee, although the profile committee is not as critical.
Jr. Warden’s Report
Dwight introduced Darlene Aulls, who presented a proposal for St. Mary’s to undertake a multi-year project to underwrite restoration of the stained glass windows in the nave. They plan to apply for a Maryland Historical Commission grant, and to raise additional funding through the sale of a cookbook. A motion was made to support St. Mary’s in this undertaking to restore the stained glass windows in the 1855 nave. The motion was seconded and passed unanimously. Dwight is also seeking bids for a fire protection system. A motion was made to authorize Dwight to continue to seek requests for bids for fire suppression equipment. This motion also passed. Two antique chairs in the rectory have been appraised at about $24-28,000 for one and $3-4,000 for the other one. We should start thinking about either selling them or insuring them. Dwight will have more information later.
Outreach- Christmas in April is coming up. Paula Gregg has taken on additional responsibilities so a new chair needs to be identified for Outreach.
Christian Formation-Summer camp is coming up in August and registration is due June 11th. Scholarships are available.
Spirituality/Fellowship- written report submitted.
Stewardship-Tom reported that the rectory has a new institutional zoning, but as long as it’s used as a rectory, there will be no problem. However, should we decide to generate rental income, water and sewer will have to be re-metered and the city will have to approve the change in zoning.
